Summary:
Fenton Pediatrics is a practice with four Physicians and one Nurse Practitioner located in Fenton, MO.
We have a beautiful office, a wonderful staff and a great location.
What we need now is an experienced, dynamic Office Manager to join our team.
KEY
Responsibilities:
OFFICE & PERSONNEL MANAGEMENT Create & Edit providers' schedule templates.
Create & manage weekly staff work schedules.
Track provider & employee vacation days.
Handle requests for time off and proactively manage overtime.
Ensure that the proper staffing mix is present each day.
Train staff to schedule patients according to the preferences of each physician and ensure that staff follow proper scheduling practices.
Track and submit payroll & 401k contributions biweekly.
Manage employee performance including annual performance reviews.
Assist physicians in the recruiting & hiring of employees (Medical Assistants, Medical Receptionists & Nurse) including scheduling & conducting interviews.
Liaise with Washington University contacts to onboard new employees.
Understand employee benefits and be able to explain these benefits to new employees.
Fax physician on-call schedule to afterhours exchange every month.
Work with physicians to renew hospital credentials, Missouri state licensure, DEA & BNDD certificates, and ensure payment of hospital dues and AAP prep.
Renew CLIA certificate for the practice.
Renew malpractice and other insurance plans for the practice.
BILLING & PATIENT ACCOUNT MANAGEMENT Call pts to make payments on account.
Answer guarantor questions in a timely manner.
Reset account aging.
Send accounts to collections or write-off accounts to terminal bad debt.
Complete daily deposits from Epic.
Maintain assigned WorkQueues.
Create and respond to CRMs to and from Washington University Professional Billing Offices.
Keep staff informed of any changes.
OFFICE FINANCE & EXPENSE MANAGEMENT Inventory, organize and order medical supplies for the office.
Inventory, organize and order vaccines for private and VFC stock.
Collect and organize monthly invoices.
Pay monthly bills.
Maintain vendor list to include all key contact information.
Liaise with Washington University finance support team to understand and apply practice management dashboard.
Support the creation of monthly expense reports.
Send monthly reports to Washington University finance support team.
Reconcile QuickBooks and bank account.
REQUIREMENTS:
Minimum 2 years of medical office management experience.
Strong team leader/ motivator.
Willingness and ability to implement requested office policies as recommended by physicians.
Epic EMR experience preferred.
Current COVID & influenza vaccination status.
